Responsibilities of a Project Manager at WCDB

  • Produce jobs that are on budget, on schedule, and happy clients
  • Order and coordinate delivery equipment required for each project
  • Order and coordinate material deliveries for an efficient building procedure
  • Manage all Trade Partners and assure schedule runs smoothly (trades arrive on time and finish on time)
  • Hand in and assign job names and cost codes to all receipts every Friday
  • Update the Buildertrend schedule daily
  • Submit daily logs on Buildertrend with a minimum of 4 pictures per day
  • Manage/respond to client calls, emails, texts, Builder Trend messages/comments
  • Communicate project progress with clients
  • Manage client expectations
  • Maintain a clean and safe job site
  • Estimate and submit change orders on Buildertrend for unforeseen conditions and/or client requests
  • Order and manage deliveries of rough materials not provided by Trade Partners
  • Manage finish material deliveries ordered by the Interior Designer
  • Work with the Interior Designer throughout the project
  • Manage and control quality of work
  • Schedule and conduct Walkthroughs with clients (Post Framing WT, Pre-electrical WT, Pre-drywall WT, Assured Happiness WT)

Staff Accountant / Bookkeeper

Also, please do not apply if you do not have 5 years min experience in Accounting and Quickbooks. This is a management position which requires a lot of experience. This is a key accounting position in a design build remodeling firm which specializes in residential projects in the Western Suburbs of Philadelphia. This position reports directly to the President and supports the company by managing all financial accounting functions for the main business and small subsidiary.

Skills Required:

  • PC Savvy – willing and eager to learn new skills with technology; proficient with MS Office Suite
  • including WORD, EXCEL, ACCESS, and OUTLOOK.
  • Ideally, this person also has Quickbooks experience to help with Accounting and Bookkeeping
  • Excellent phone manner – professional yet friendly and warm; able to ascertain the nature of the call
  • and direct/handle accordingly.
  • Strong understanding of accounting procedures; in-depth knowledge of QuickBooks Pro, percent
  • complete accounting and job costing.

Company Responsibilities

There is an array of responsibilities and because this is a small company, the Staff Accountant must be a jack-of-all-trades.

Office Administration – ensures office is organized and runs smoothly; responsible for all incoming calls – if new client, qualify project, compile lead sheet and set-up initial appointment utilizing Outlook Calendar with pertinent information; troubleshoots and solves staff, client, vendor and subcontractor financial issues as possible; works with team to lead and implement office systems and procedures; maintains and manages computer network and ensures appropriate backup and storage of computer files in collaboration with outside tech support; responsible for operation and maintenance minor office equipment and inventory of office supplies; organizes and composes office correspondence, documents and other reports; monitors, updates and renews all insurance policies applicable to business operation; ensures all contact lists for staff, vendors, suppliers, and subtrades are maintained and updated; picks up, reads and routes incoming mail on Monday and Thursday; assists President and other Officers as required.

Financial Administration – A/P, A/R, initiate client billing and work with President and bookkeeper to ensure receivables are kept to a minimum; monitors overhead costs to reduce wasteful spending.

Establish an Annual Budget

Sales & Production – support sales and production as necessary.

Other – participate in weekly staff meetings and company functions; assists with updating the business plan and ensures the company’s public image is consistent and in keeping with branding.

Key Initial Items Staff Accountant Will Take on:

  • Learning our Accounting Functions and Entering Daily/Weekly Data into QB’s.
  • Printing Financial Reports and checking for errors, correcting any errors
  • Providing Cost Reports to President & Project Managers
  • Creating New Job Binders & Managing Cloud-Based Management System
  • AP/AR
  • Answer Phones, direct caller to correct staff. Learn to Pre-Qualify Leads
  • Pick Up & Send Out Mail
  • Send Notices to Neighbors when projects are about to start & when coming to an end
  • Keep up to date with Insurance Certs for Subcontractors
  • Create and Manage Master Job Number Database
  • Work on Project Close-Out Procedures

Job Type: Full-Time

Salary: $60,000.00 to $80,000.00 /year depending on level of experience
